School Printing in NYC: Working With a DOE Vendor

What schools need printed across the year, and how buying from a registered DOE vendor simplifies it.

School print runs on a fixed calendar with immovable dates. A yearbook that arrives after the last day of school is worthless. Planning backward from those dates is the whole job.

Buying as a New York City school

Big Apple Press is a registered vendor with the New York City Department of Education, which means schools can purchase through the channels their budget already uses rather than working around procurement. If you are a school administrator, that usually removes the slowest part of the process.

PTAs and parent associations often purchase separately from the school budget, and we work with both.

The year, in print

September

Student handbooks, codes of conduct, family welcome packets, classroom signage and forms. Permission slips and attendance forms print as carbonless NCR sets, padded so the office hands over a block rather than collating.

Through the year

Newsletters, PTA fundraising materials, event flyers, raffle and event tickets, athletic and performance programs, certificates and honor roll awards.

Spring

Yearbooks and graduation programs, both of which need real lead time because binding does. Diplomas and award certificates. Start yearbook conversations in winter, not in May.

Multilingual materials

New York City schools serve families speaking dozens of languages, and a letter nobody in the household can read did not go out. We print home language versions of letters, forms and brochures matched to the English layout, so a parent coordinator can point to the same field on any version.

Send translations as text rather than as images of text. Translated content pasted in as screenshots cannot be typeset, will not reflow, and prints soft. If a translation arrives as a PDF you cannot edit, tell us and we will re-set it properly.

Yearbooks specifically

Perfect bound for higher page counts, saddle stitched for smaller books, case bound hardcover where budget allows. The single most common problem is photo resolution: images pulled from phones and shared albums are often sized for screen and fall apart at print size. Collect originals, not forwards.
