Gala and Benefit Printing for NYC Nonprofits

The full print list for a benefit, in the order you need to commission it.

A Manhattan benefit generates more print than people expect, and most of it is date-locked. Working backward from the event is the only sane way to plan it.

Eight to ten weeks out: invitations

Invitations go out first and take the longest, particularly with foil or letterpress. Include the reply device and envelopes in the same order so stocks match.

Four to six weeks out: the ad book

If your program carries paid ads, the deadline for ad artwork is the real constraint, not the print schedule. Set the advertiser deadline at least two weeks before the print deadline, because a meaningful share of advertisers will be late and several will send unusable files.

Programs are saddle stitched up to around 64 pages, perfect bound above that. Ad pages should be spec'd to a standard trim with bleed so you are not rebuilding every submission.

Three weeks out: auction catalog

Lot photography and descriptions firm up late. Print the catalog in short digital runs so a withdrawn lot does not invalidate the whole print run, and consider a separate insert for late additions.

Two weeks out: tickets, badges and signage

  • Sequentially numbered tickets with perforated stubs, and security features such as foil where the door is controlled.
  • Raffle books numbered in matched pairs.
  • Name badges printed with variable data so staff, press, board and VIP read across a room.
  • Lanyards, printed flat or tubular.
  • Step and repeat backdrop, printed matte so camera flash does not blow out sponsor logos.
  • Directional signage, mounted seating charts, table numbers and donor recognition boards.

The most common gala print mistake is ordering the step and repeat last. It is large format, it needs a stand or frame, and it is the one item that photographs into every image from the night. Order it with the signage, not the week of.

Day-of extras worth having

Blank place cards and a marker, spare badges, and twenty percent more programs than your RSVP count. Running out of programs at a benefit is a small, visible failure.
